How to create LEDES format invoices?

The Legal Electronic Data Exchange Standard is an electronically billing file format. LEDES file format is typically used by law firms for billing, if required by one of their clients. It is abbreviated LEDES and is usually pronounced as "leeds".

CaseFox supports various electronic billing formats such as LEDES 1998B, Chubbs, Litigation Advisor.


A LEDES format invoice is automatically generated when you create an invoice. See "Getting Started" for instructions for generating invoices.

To generate valid LEDES invoices, please ensure:

In client details, the Law Firm ID field is filled. A Law Firm ID is your firm's identification (e.g., your tax id) in your client's billing system.

In Case Details, the Client Matter ID field is filled. A Client Matter ID is the identification (e.g., matter id or case reference number) of the case in your client's billing system. Also, if you enter the case description, this text will be used as "Invoice Description" in LEDES invoices of this case. If the case description is left blank, "Client Name/Case Name" will be used as "Invoice Description."

In Add Note (Time/Expense), use appropriate UTBMS codes.

NOTE

There are three required numbers for setting up a client/case for LEDES invoicing.

Law Firm ID - This is the identification of your firm in the billing system (e.g., Serengeti, TyMetrix, etc.) . This ID will be the same for each client. Typically this is your firm's tax ID. But please check with the billing system to confirm.

Client ID - CaseFox auto generates this (which is what LEDES standards require). However, if the billing system provides a different Client ID, please replace (in Client Details/Edit tab) the auto-generated Client ID with the client id provided by the billing system.

Client Matter IF - Tthis is generated by the billing system and entered in the Edit Case tab of each case.

Docket number (in Edit Case tab) - CaseFox auto generates this reference number and this is not important for LEDES invoices. You may replace it by your own docket number if so desired.


LEDES XML2.0 INVOICES

In addition to the above instructions, please click on the "LEDES Settings" button under the "Client Details/Edit" tab of a client to enter additional required information. Simple LEDES XML2.0 format is supported. Hourly rate billing and one tax per client/jurisdiction are supported.
